Rentals for Public Events
Planning a festival, concert, or community gathering?
The City of Sun Prairie Parks, Recreation, and Forestry Department's Public Events in City Parks Policy outlines a the process to help you host public events in our city parks.
Public Event Defined
Any event which is open to or invites the general public to engage, inform, or entertain a wide audience. These events include but are not limited to festivals, fairs, concerts, tournaments, etc. taking place in parks that are owned and/or managed by the City of Sun Prairie. Examples of an event being open to or where the general public is invited include posted signs, commercials, newspaper, social media, announcement, verbal exchange of information, or any other means of publicly announcing the event. Events are considered public whether or not there is an admission fee and regardless of size.

How to Host a Public Event in a City Park
- Review the Policy
Familiarize yourself with the Public Events in City Parks Policy to understand the requirements, fees, and expectations. The Policy can be found here. - Submit an Application
- Complete the Public Event in City Parks application, found online here.
- Submit the application at least 60 days before your event date.
- Include a detailed site plan map indicating locations for restrooms, food trucks, staging areas, etc.
- Determine Additional Permits
Some events require permits through the City Clerk’s Office, including:- Street closures or parking restrictions
- Serving alcohol
- Events with admission charges
- Fireworks displays
- Secure Liability Insurance
Obtain liability insurance with a minimum coverage of $1,000,000 per occurrence and $2,000,000 aggregate. The City of Sun Prairie must be listed as an additional insured.
- Pay Event Fees
Fees are based on the number of attendees and park location. See fee schedule below for a full breakdown of costs and park availability.
- Coordinate Amenities
- Request additional picnic tables ($25/table) if needed.
- Arrange for portable restrooms if required. Indicate their placement on your site plan and inform the department of delivery details.
- Await Approval
All applications and required permits must be approved before advertising your event. - Plan Event Logistics
Confirm compliance with all rules, including leaving park areas as found and following city ordinances. Ensure your event respects park capacities and minimizes impact on public resources. - Host Your Event!
